Who we are

WebPetDoctor provides cloud veterinary practice software (scheduling, medical records, invoices, client portal, messaging, and related modules). This notice describes how we handle information when you visit our marketing site, request a trial, or use the platform.

Information we collect

• Account and contact data — name, email, phone, clinic name, and similar details you provide for trials, support, or operator accounts.
• Clinic operational data — patient, client, appointment, invoice, and portal records entered by a veterinary clinic while using the product. Clinics control that content as the practice operator.
• Technical data — IP address, browser type, device signals, timestamps, and diagnostic logs needed to operate, secure, and improve the service.
• Payment data — billing contact and subscription status. Card details are processed by our payment processor (Stripe); we do not store full card numbers on our servers.

How we use information

• Provide, host, secure, and support the WebPetDoctor service.
• Respond to trial requests, support tickets, and product communications you request.
• Process platform subscription billing and prevent fraud or abuse.
• Maintain audit trails, backups, and service reliability.

Clinic data and roles

For day-to-day practice records, the veterinary clinic is typically the controller of its client and patient information. WebPetDoctor processes that data to host the product for the clinic. Clinic staff decide who may access their tenant and what owners see in the client portal.

Sharing

We do not sell personal information. We share data with service providers who help us run the product (for example hosting, email delivery, and payment processing), only as needed to perform those services, and when required by law or to protect the security of the platform.

Cookies and similar technologies

We use cookies and similar storage for sign-in sessions, security, and basic preferences. Essential cookies are required for authenticated areas to work.

Retention and security

We retain information for as long as an account or clinic subscription is active and as needed for legal, billing, and security purposes afterward. We use administrative, technical, and physical safeguards appropriate to the sensitivity of the data. No method of transmission or storage is completely secure.

Your choices

Depending on your location, you may have rights to access, correct, or delete certain personal information, or to object to specific processing. Clinic clients should contact their veterinary clinic for records held in that clinic’s account. Operators and marketing contacts can email info@webpetdoctor.com.

Children

The product is intended for veterinary practices and adult pet owners. It is not directed at children under 13 (or the equivalent age in your jurisdiction).

Updates

We may update this notice as the product or law changes. The date of the current version is October 2026. Continued use of the service after an update means you acknowledge the revised notice.
